Setting the Scene

The implementation plan to setup time tracking in 4me includes the following steps:

  1. Setting the Scene
  2. Defining Timesheet Settings
  3. Defining Time Allocations
  4. Defining Effort Classes
  5. Testing the Setup
  6. Designing the Review Cycle
  7. Integrations
  8. Reporting
  9. Organizational Change Management

Not all the implementation steps are always needed. To identify the ones you need, you should start with a good understanding of the requirements. Setting up time tracking should never be a goal on its own. It is a means to achieve other goals like delivering input for measuring overtime, or improving resource planning. It is important to understand what the organization is trying to achieve by activating time tracking in 4me. That’s why the first step in the implementation plan is called ‘Setting the Scene’. During this step you will make sure that you understand the objectives of the time tracking initiative and you will identify the requirements.

Question:

The overall objective is to make sure that Widget Europe IT is able to get a better insight in the resources required to perform certain activities so that these activities can be automated and to get a better insight in the service costs so that a decision can be made whether it makes sense to source (parts of) these services to external suppliers.
As a second objective overtime must be registred in 4me and after approval the overtime entries must be sent automatically to the HR payroll system.
This all means:
– The Widget Europe IT specialists need to report on 100% of their time
– The Widget Europe IT specialists should be able to specify whether an activity was performed during normal business hours or out of business hours
