Changing Your Team’s Coordinator

Larger teams normally use a team coordinator to distribute the work after it has been assigned to their team. That stops multiple team members from reviewing assignments that they subsequently decide not to accept because they are better dealt with by another team member.

Small teams that are made up of two or three members often work without a coordinator and each member picks up the most urgent item from the inbox as soon as he/she is able to start on a new assignment.

Tom is a member of the Application Development team, which currently has Frank Watson as its team coordinator. Let’s assume that Frank calls Tom to tell him that he is not feeling well and is going home. He would like Tom to take over from him as the team’s coordinator.

Open the Application Development team in Edit mode and make Tom the new coordinator of the team.

Question:

Request #704660 and request #704670 are now also visible in Tom’s “My Inbox” view. That is because these requests are assigned to the Application Development team, but still need to be assigned to a specific member of this team. These requests are presented with a blue dot next to them to ensure that Tom’s attention is drawn to them. All new assignments are displayed with a blue dot next to them for this reason.

 The 4me platform provides a third option to have requests assigned to team members: Auto-assign.  When this option is checked for a team, requests are automatically assigned to the members of the team, based on a comprehensive algorithm. Check with the administrator of your 4me account to enable Auto-assign for your team.
