Recurring Tasks

Some tasks need to be performed on a regular basis. It could be the daily backup tape swap, the monthly review of capacity trends, or the annual update of the copyright statement underneath the pages of the corporate website.

To ensure that people do not forget to complete these tasks, you can tell 4me to generate such tasks at a specific frequency. By linking a single task template or a whole workflow of task templates to a workflow template, you can define their recurrence schedule in the workflow template.

Create your own recurring workflow by first opening a new workflow template. Give this template the name:  Offsite storage of mailbox backups In the Note field you can specify the following:

This workflow gets generated automatically on a weekly basis to ensure that the tapes with the Sunday backups of the mailboxes are transported to the secure offsite storage facility.

Relate this workflow template to the “Email” service and select the category “Standard”, the type “Infrastructure Change” and the justification “Maintenance”.

Next, open the Gantt chart and link the following two task templates to the workflow template. Make sure that they are executed in a sequential order:

Now open the Recurrence section of the workflow template. Define a weekly recurrence schedule that starts 3 minutes from now. After you have saved the workflow template, wait 3 minutes to see what happens.

Question:

When you have the workflow template in View mode, you will see the Next occurrence field at the bottom of the Recurrence section. This field tells you the date and time at which the next workflow will be generated.

Once the first workflow has been generated by the recurrence schedule, the Last occurrence field will be presented above the Next occurrence field. The Last occurrence field shows you the date and time at which the last workflow was generated. It also includes a link to this last workflow.
