Registering an Invoice

The 4me service supports service based costing, i.e. the 4me service can calculate the full cost of the services your organization delivers. This includes the costs of the configuration items or assets. This is one of the reasons why you should always link these assets to the relevant service and service instance.

In the previous exercises you have defined a new configuration item (CI). But we didn’t add the cost of the CI. The cost is part of the invoice that was received from the supplier.

In this exercise you will define the invoice that you received from the SMART Technologies Corporation and link it to the configuration item.

To manage invoices you need the Financial Manager role.

Go ahead and log in as Chess Cole. Chess is the financial manager in the Widget North America, Information Technology support domain.

Go to the records console and select Configuration Items. Select the CI Smart 7086 Pro display. As a financial manager you will find an ‘Add Invoice’ button on the hardware configuration items.

Assume that you received an invoice from Smart Technologies Corporation for the Smart 7086 Pro display you with the following information:

Invoice number: SMA-24-000256
PO number: PO0044608
Invoice date: Today
Unit Price: 5,940.00 US dollars
Depreciation start: Today

Proceed and add this invoice to 4me.

Question:

These values were already defined when you registered the product. Most organizations have predefined amortization rules for their hardware products. When these rules are defined on the products, the administrative work for the financial manager is reduced. If required, the financial manager can always overwrite the default amortization rules from the product when registering an invoice.

When you have registered the invoice, login again as the configuration manager Bob Lewis for the rest of the exercises.
