Import Colleagues and Customers

With all the basic service level management information registered, it is time to import the people who work within the support organization and the end-users who will be contacting your service desk.

The fastest way to do this now is to import them. Later you may consider using the 4me API to maintain this information automatically.

To help you prepare an import file, it is best to first export the existing people of your account. That provides you with an example. You can then simply add a row for each person you would like to import.

To export People records, follow these instructions:

  1. Within 4me, click on the Records console toolbar icon.
  2. Select the “People” option from the dropdown menu.
  3. Click on the Actions toolbar button.
  4. Select the option “Export…” option.
  5. Ensure that the selection is set to “People” and click on the Export button.
  6. Save the Comma Separated Values (.csv) file onto your PC.

Now you can open the file. You will see only your own Person record, but that is enough to understand how people are defined. Simply follow the same format when you add additional people.

If you are registering people of external organizations, then you can register these organizations now. Then you can refer to these organizations in the people import file that you are preparing. To register organizations, click on the Records console and select the "Organizations" option.

Make sure that you do not specify a value for the 4me ID. 4me automatically assigns an ID to each new record when it is created.

Save the file and import the people following these instructions:

  1. Within 4me, click on the Records console toolbar icon.
  2. Select the “People” option from the dropdown menu.
  3. Click on the Actions toolbar button.
  4. Leave the default selection set to “People”.
  5. Click on the Choose File… button.
  6. Select your people import file.
  7. Click on the Import button to start the import.
